Privacy Policy

Experience Italy, Inc. plans custom travel to Italy. To do that we need to know things about you — when you want to travel, who with, what you hope the trip will feel like, and eventually the details required to make bookings in your name. This policy explains what we collect, why, who we pass it to, and what you can ask us to do about it.

We have tried to write it in plain language rather than the usual boilerplate. If anything here is unclear, please ask.

Who we are

Experience Italy, Inc. is a travel agency based in the Sacramento, California area, serving clients across the Greater Sacramento region and beyond. We have been planning Italian journeys since 1995. We are the party responsible for the personal information described in this policy.

Information we collect

Information you give us through this website

Our contact form asks for your name, email address, a subject line and your message.

Our trip questionnaire asks for rather more, because it is the start of planning a journey: your name, email address and phone number, when you hope to travel, how many people are travelling and who they are to you, the regions of Italy that interest you, the kinds of experience you are hoping for, an approximate budget, whether you are marking a special occasion, what would make the trip unforgettable, and how you heard about us.

If you submit a review, we collect the name you wish to be shown, your email address, your rating and review text, the itinerary and year of your trip, an optional website address, and any photographs you choose to upload. Reviews are held unpublished until we approve them, and what you submit is intended for publication on this website.

Information you give us while we plan your trip

Once we are working together, we will normally need details that bookings require — full names as they appear on passports, dates of birth, passport details, addresses, and payment arrangements. You may also choose to tell us about dietary requirements, mobility needs, medical considerations or similar, so that we can arrange things properly. Information of that last kind is sensitive, we collect it only when you offer it or when a supplier requires it, and we pass it on only as far as is necessary to make the arrangement work.

Information collected automatically

Our web host keeps standard server logs — IP address, browser type, pages requested, date and time. These are generated by the hosting infrastructure for security and troubleshooting, and we do not use them to build any profile of you.

How we use your information

  • To answer your enquiry and discuss what you are looking for
  • To research, design and quote a proposed itinerary
  • To make and manage bookings with hotels, guides, drivers, restaurants and other suppliers on your behalf
  • To support you before, during and after your trip
  • To publish reviews you have submitted for publication
  • To keep our own business records, and to meet legal and tax obligations

We do not sell your personal information. We do not share it with anyone for their own marketing purposes. We do not send marketing email unless you have asked us to.

Who we share it with

Travel suppliers

This is the important one for a travel agency. To book anything, we must pass your details to the businesses actually providing it — hotels, tour guides, drivers, restaurants, transport operators, ticketing agents and, where relevant, airlines or insurers. Most of these are located in Italy. Once your information is with a supplier, that supplier handles it under its own privacy practices, which we do not control.

Service providers

A small number of companies process information on our behalf, under contract, and only as instructed:

  • Hostinger — hosts this website and its database, where form submissions are stored
  • Brevo — delivers the notification emails our website sends
  • Microsoft 365 — our email system, where correspondence with you lives
  • Cloudflare — provides DNS for our domain

When the law requires it

We may disclose information where we are legally obliged to, or where it is necessary to establish or defend legal claims.

Information leaving the United States

Planning travel to Italy necessarily means sending your details to Italy. When we book on your behalf, your information is transferred to suppliers in Italy and occasionally elsewhere in Europe. Those countries have data protection laws that differ from those in the United States. By asking us to arrange travel, you are asking us to make those transfers, and we make only the ones needed to complete your arrangements.

How long we keep it

We keep information for as long as it serves the purposes described above. In practice that means: while we are planning or supporting your travel; afterwards, for as long as your history with us remains useful, because travel plans are often picked up again years later; and for as long as we are required to keep business records for accounting and tax.

We would rather be straightforward than pretend to a precision we do not have: we do not run a fixed deletion timetable. Much of what we hold is ordinary email correspondence, which remains in our mail system until it is cleared. Published reviews stay until you ask us to take them down, and server logs are kept only for the short period our host retains them.

Cookies and tracking

This website does not use analytics software, advertising pixels or third-party tracking cookies. We do not run Google Analytics, we have no Meta or advertising pixel installed, and no third-party scripts load when you browse these pages. We are not tracking you around the internet, and we have nothing to sell about your visit.

WordPress, which runs this site, may set a small number of strictly necessary cookies — for example if you submit a form or if a site administrator signs in. These keep the site working and are not used for tracking.

Your rights

Whoever and wherever you are, you may ask us to give you a copy of the information we hold about you, correct anything that is wrong, delete it, or stop using it for a particular purpose. Email info@experienceitaly.com and we will respond within 30 days. We will not treat you differently for asking.

There are limits. We cannot delete information we still need to complete travel you have booked, nor records we are legally required to keep, and we cannot retrieve information already passed to a supplier in order to make a booking.

If you are in California

California law gives residents rights to know what personal information is collected and disclosed, to request deletion or correction, and not to be discriminated against for exercising those rights. We extend the rights described above to all our clients as a matter of practice. For the record: we have not sold or shared personal information for cross-context behavioural advertising, and we do not use or disclose sensitive personal information for any purpose beyond providing the travel services you have asked for.

If you are in the United Kingdom or European Economic Area

You additionally have the right to object to processing, to request that we restrict it, to receive your information in a portable format, and to complain to your national data protection authority. Where we rely on your consent, you may withdraw it at any time.

Our lawful bases are: performance of a contract, for arranging and delivering travel you have asked us to book; legitimate interests, for responding to enquiries and running our business; consent, for publishing a review you have submitted or sending any marketing you have opted into; and legal obligation, for records we must retain.

Children

This website is not directed at children and we do not knowingly collect information from anyone under 13. We do of course hold details of children travelling as part of a family booking, provided to us by the adult making the arrangements.

How we protect it

This website is served only over an encrypted connection. Access to our systems is limited to the people who need it. No system is perfectly secure, so we ask that you not send passport scans, payment card numbers or similar by ordinary email — tell us and we will arrange a safer route.

Other websites

Our pages link to other sites, including our profiles on Facebook, Instagram and Pinterest. Following a link takes you somewhere governed by that site’s own privacy policy, not this one.

Changes to this policy

If we change how we handle personal information, we will update this page and the date at the top. Where a change is significant and affects people we are already working with, we will tell them directly.
